Privacy and Cookie Policy

Who We Are

This policy explains how Airparser (the company identified in our Terms of Service) handles personal data when you visit our website or use our services. Airparser is the controller of the personal data described in this policy, except for the content of the documents you submit for processing (see “Documents You Process With Airparser”).

What We Collect, Why, and on What Legal Basis

  • Website usage data (such as IP address, browser and device type, pages visited, referring page and error details), to run, secure and improve the website. Legal basis: our legitimate interests in operating and securing our services.
  • Account and billing data (such as your name, email address and the details needed to process payments, which are handled by our payment provider), to create and manage your account, provide the service and bill you. Legal basis: performing our contract with you, and legal obligations such as accounting and tax rules.
  • Messages you send us (by email, chat or forms), to answer your questions and requests. Legal basis: our legitimate interests in responding to you, or steps you ask us to take before entering into a contract.
  • Cookies and similar technologies that are not strictly necessary, as described in “Use of Cookies” below. Legal basis: your consent.
  • Marketing emails, where we send them, to tell you about our services. Legal basis: your consent or, where the law allows, our legitimate interests. Every message lets you unsubscribe.
  • Legal compliance and disputes, to meet our legal obligations and to establish, exercise or defend legal claims. Legal basis: legal obligation and our legitimate interests.

If you do not provide the data needed for an account or a payment, we cannot provide the service to you.

Documents You Process With Airparser

When you upload documents or forward emails to Airparser for data extraction, you decide what content is processed. For that content we act as your processor under our Data Processing Agreement and process it only to provide the service. How this content is protected and which providers process it is described on our AI Data Security and Subprocessors pages.

Who We Share Personal Data With

We share personal data only with service providers that help us run Airparser (for example hosting and storage, payments, customer support, analytics and AI processing) under agreements that protect personal data, and with authorities or advisers where the law requires it or to protect our legal rights. The providers that process customer content are listed on our Subprocessors page.

International Transfers

Some of our providers are located outside the European Economic Area, including in the United States. Where personal data is transferred outside the EEA, we rely on a safeguard required by the GDPR, such as an adequacy decision (for example the EU–US Data Privacy Framework for certified providers) or the European Commission’s Standard Contractual Clauses.

How Long We Keep Personal Data

We keep personal data only for as long as we need it for the purposes described above: for example while your account is active, for as long as needed to handle your request, and for as long as the law requires us to keep records such as invoices. When we no longer need it, we delete it or make it anonymous.

Your Rights

You have the right to access your personal data, to have it corrected or erased, to restrict or object to its processing (including, at any time, to direct marketing), to receive it in a portable format, and to withdraw any consent you gave, without affecting processing that took place before. To exercise these rights, email us at [email protected]. We may ask you to verify your identity, and we will respond within the time limits set by law. If you believe we have not handled your personal data properly, you can also complain to the data protection authority in your country.

Security

We use appropriate technical and organisational measures to protect personal data. More information is available on our Security page.

Children

Our services are intended for business use and are not directed at children under 16. We do not knowingly collect personal data from children.

Use of Cookies

We use “cookies” to collect information about you and your activity across our site. A cookie is a small piece of data that our website stores on your computer, and accesses each time you visit, so we can understand how you use our site. This helps us serve you content based on preferences you have specified.

Apart from the essential cookies described below, we only set cookies or load third-party analytics and marketing scripts after you have given your consent. When you first visit our site, a banner lets you accept all cookies, reject all cookies, or choose by category. You can change or withdraw your choice at any time with the “Cookie settings” link in the footer of every page. We ask again after six months.

The cookies and scripts we use, by category:

Cookies that a feature you ask for needs in order to work (for example, opening our chat) are also essential.
  • Analytics (consent required). Google Analytics (Google Ireland Limited) sets _ga and _ga_* (up to two years) to give us statistics on how the site is used. Not loaded unless you accept.
  • Marketing & attribution (consent required). First-party cookies utm_source, utm_medium, utm_campaign, utm_term, utm_content, via, ref and referrer (30 days) remember the campaign or website that brought you here, so we can attribute sign-ups. Partnero (partnero_session_uuid) tracks our affiliate program. Neither is set unless you accept.

We may update this policy from time to time. The current version is always available at this address. If we make significant changes, we will inform you as required by law.
